COST & VALUE

What does AI software actually cost?

Look beyond the monthly subscription to usage, review work, and ongoing operations.

By SWLabAI Editorial · Published October 24, 2026 · Practical evaluation framework

Separate the subscription from consumption

A subscription may include an allowance rather than unlimited work. Check how the vendor counts credits, executions, seats, model calls, storage, and overages. Annual billing prices should not be mistaken for month-to-month commitments.

Estimate a representative month

Count how often the workflow runs, the number of steps, and realistic retries. Include external services such as model providers and hosting. Use the vendor’s current pricing page rather than a price copied from an old review.

Budget for review and maintenance

Assign someone to inspect outputs, handle failures, and update prompts or integrations. When a tool changes models or usage policies, a workflow that previously fit your budget may need adjustment.

Calculate value with your own numbers

Compare the old and new workflow on the same tasks. Count review time as part of the new workflow. Subtract software and operating costs from the value of any time saved. This is an evaluation method, not a claim that a specific tool produces a particular return.
