How to choose AI software for your business

A practical evaluation checklist that starts with the task—not the trend.

By SWLabAI Editorial · Published October 24, 2026 · Practical evaluation framework

Start with one job worth improving

Write down the input, the expected output, who reviews it, and what happens when it fails. “AI for marketing” is too broad to evaluate. “Turn an approved brief into an editable first draft” is a task you can compare.

Decide what a good result looks like

Choose acceptance criteria before opening a trial: factual accuracy, required format, review time, accessibility, and compatibility with your existing tools. Define a small sample that represents typical work and difficult edge cases.

Check data access and ownership

Read the vendor’s current privacy, retention, training, and export policies. Identify what information the workflow needs and who may authorize sharing it. Avoid uploading confidential customer data just to explore a product.

Compare the complete workflow

Record setup time, manual corrections, failed attempts, and the effort of moving results into your existing systems. A faster draft is less useful if it creates more review work. Keep the input and expected output consistent between trials.

Make a small, reversible decision

Start with a limited pilot, assign an owner, and set a spending ceiling. Keep exports and a rollback plan. Expand only after the workflow demonstrates enough value to justify its ongoing costs.
